Submitting Travel Information

Travel information for ALL VOLUNTEERS on ALL TRIPS must be submitted at least 30 days before the starting date of the trip. The sooner you can provide this information, the better. If we have not received your travel information by the deadline, you will be dropped from the trip. Once you have submitted this information, if the airline changes your flight, or other details of your plans are changed, please email us with any updates.

To submit your information you will need to have the following information:

  • Whether or not you will need a ride during the clinic.
  • How you are getting to the meeting location:
    • IF FLYING:
      • Date / Airline / Airport/ Flight number / Time of arrival.
      • We will ONLY need information for the last leg of the flight that is taking you to the meeting location.
    • IF DRIVING:
      • Type of vehicle (make/model/color) or Rental
      • Names of any other volunteers traveling with you
      • If your vehicle will have room for other volunteers, how many?
    • IF RIDING WITH ANOTHER VOLUNTEER:
      • Name of driver you are traveling with.

Your Travel Plans
Travel details (dates, meeting locations) for each trip are listed on the Schedule page, via the "VIEW DETAILS" link under the your particular trip. Be sure to check this information before making travel arrangements to be sure that you will be able to meet the team at the arranged meeting time.

Volunteers are responsible for getting to and from the designated meeting site, and for arranging accommodations prior to and after the pick-up and drop-off times.

Rental expenses and fuel for vehicles to transport RAVS volunteers is a huge part of our budget and a major impediment to expanding our program. We are thus asking volunteers to carpool and bring or rent their own vehicles whenever possible. If you look at air fares to most of the meeting places, you will find that you can save a lot of money by getting together with classmates or others who are also signed up for your trip and carpooling together. Many volunteers find the added comfort of a bit of 'personal space' is another benefit of having a vehicle of their own. If school or work schedules make carpooling impossible, RAVS will be able to make a limited number of vehicles available for ground transportation.

If you will be driving your own vehicle or renting a vehicle for the entire trip AND there are 4 or more volunteers in the vehicle, RAVS can pay for your fuel from the designated meeting location until the end of the trip, but ONLY if you are queued-up at the gas stations and allow the trip leader to pay for the gas. We cannot make reimbursements.

The financial, logistic and environmental costs of having a dozen or more vehicles each carrying only 1 or 2 people all contribute to the rationale of the 4+ people per vehicle fuel requirement.
